Who we are

OpsNerds is a set of tools for independent restaurant and pizzeria operators. It is a business tool, used by businesses, about business numbers.
What we collect, and why
Your account
When you create an account we collect your email address and a password, and you may add your name, your restaurant's name, and its city and state. We use these to sign you in, to send you account emails such as confirmation and password resets, and to label your account. Your password is stored only as a secure hash, never as text we could read.
Your team
If you invite people to your account, we store the name and job title you give them, the permissions you assign, and their email address so you can see who is on your team. This is workplace contact information, not employment records. We do not collect Social Security numbers, dates of birth, or individual wage records.
Your restaurant's operating information
This is the heart of the product, and it is the part we treat most carefully. Depending on which tools you use, it can include: ingredients, suppliers and what you pay them; recipes, menu items, menu prices and margins; inventory counts and par levels; waste; labour hours and cost; prime cost; purchases and invoice line items; fixed and variable costs; and, if you use the P&L tool, imported bank or card transactions and your sales figures.
We process it for one reason: to run the calculators and show you the results. We do not sell it, rent it, or use it for advertising. Another restaurant's account cannot read yours; access is enforced in the database itself, not just in the page you see.
Documents you upload
Some tools let you upload an invoice, a bank or card statement, a recipe document, or an expense document, as a PDF, photo, spreadsheet, CSV, text file or Word document, so the details can be read out automatically instead of typed.
Two honest details about that. First, spreadsheets, CSVs, text files and Word documents are read inside your own browser, and for bank and card statements the account and routing numbers are removed there before anything is sent anywhere. Second, a PDF or a photo cannot be edited that way, so if you upload a statement as a PDF or a picture, it is sent for processing as it is, including whatever is printed on it. If that matters to you, export the statement as CSV instead.
Technical and usage information
We keep a record of each document scan: which tool, when, how large the request was, how many pages, and how much processing it used. This is how limits and fair use are enforced. These records describe the request, not its contents. They do not contain your document or the information extracted from it.
Your browser stores a working copy of your tool data and your sign-in session on your own device, so the tools work smoothly and so you stay signed in. You can clear this at any time through your browser settings, and signing out clears the session.
OpsNerds does not set cookies, and does not use analytics, advertising, or tracking technologies. There is no Google Analytics, no advertising pixel, and no session-recording tool on this site. Our hosting and database providers necessarily see technical information such as your IP address and browser type in order to serve a page or answer a request, in the same way any website works.
When you contact us
The contact form collects your name, email address and message, so we can reply. It is handled by our hosting provider's form service.
Artificial intelligence used to read documents
Reading an uploaded invoice, statement, recipe or expense document involves a third-party artificial intelligence processing provider. The document, or text taken from it, is sent to that provider, the details are extracted, and the result comes back to you for review.
Under our agreement with that provider, the material we send is not used to train their models, and it is automatically deleted from their systems within 30 days. They act as our service provider, on our instructions.
Service providers we rely on
We share information with service providers that help us host, secure, operate and support OpsNerds. These fall into a small number of categories:

These providers process information on our behalf, for the purposes above, under agreements that restrict what they may do with it. We do not sell your information to anyone, and we do not share it with advertisers or data brokers.
How long we keep things

Deleting your information
Inside the tools you can delete individual items, whole lists, and saved periods yourself.
To delete your account and everything in it, email us at [CONTACT EMAIL] from the address on the account and ask. We will delete it and confirm when it is done. Deleting the account removes the restaurant's saved information along with it, including for any teammates on that account, so make sure that is what you want.
Security
We take this seriously and have put real work into it: access to your data is enforced in the database itself so one account cannot read another's, the site restricts what code is allowed to run in your browser, passwords must be at least 12 characters and are checked against known breached passwords, and sessions expire rather than lasting forever.
We are not going to tell you it is impossible to breach, because no honest service can say that. If we ever discover a breach affecting your information, we will tell you.
Where information is processed
OpsNerds is operated from the United States and information is processed there. If you use OpsNerds from outside the United States, you are sending your information to be processed in the United States.
Children
OpsNerds is a business tool and is not intended for children. We do not knowingly collect information from anyone under 18. If you believe a child has given us information, email us and we will remove it.
Your rights
Depending on where you live, you may have the right to ask what information we hold about you, to get a copy of it, to have it corrected, or to have it deleted. Email us at [CONTACT EMAIL] and we will help. We will not treat you differently for asking.
Changes to this policy
If we change this policy we will update the effective date at the top and, for anything significant, tell account holders by email. Carrying on using OpsNerds after a change means the updated policy applies.
